What is CRM Studio for?
Once you have more than five or six prospects at a time, follow-ups start slipping through the cracks between your inbox, your calendar and a spreadsheet. A quote sent three weeks ago goes quiet, nobody calls back, and the deal goes elsewhere without you ever knowing why.
CRM Studio organises your deals in progress in a column pipeline, from first contact to signature. Every deal carries a dated next action and an interaction log. The tool computes your pipeline's weighted value, your monthly forecast, your win rate and your sales cycle, spots overdue follow-ups and deals going cold, and rates your pipeline health on 5 axes. No subscription, and your data stays in your browser.
With the other Yok-Kod tools
- Client Finder Studio helps you find prospects: each promising lead becomes a deal at the “Lead” stage;
- Freelance Proposal Generator writes the quote or proposal; log it in the journal and move the deal to “Proposal sent”;
- Email Sequence Studio writes the follow-up emails you schedule as next actions;
- Financial Forecast: your weighted forecast and signed revenue help you set realistic revenue assumptions.

The steps, one by one
Start from the demo or a template
🎁 Demo button: a freelancer pipeline loads, with example deals that are overdue, dormant, won and lost. Explore the views to see the alerts. Pro members get 8 industry templates (📋 Templates), with or without example deals. You can always go back with ↶ (Ctrl+Z).
Set your stages
In ⚙️ Stages, name the stages of your sale, give each a probability, pick your currency and the delay after which a deal counts as “dormant”.
Add your deals
+ Deal button (or the N key): a name, a company, an amount, an expected close date. With Pro, import your spreadsheet or former CRM in one go (📥 Import).
Give each one a next action
What and when: “Follow up on the quote, Thursday”. This is the habit that makes everything else work.
Every morning, open “To-do”
Handle overdue actions, then today's, log what happened, move deals forward and mark them won or lost. Follow the pipeline health recommendations.
Pipeline stages
The default pipeline has six stages: Lead (10%), Qualified (25%), Proposal sent (50%), Negotiation (75%), Won and Lost. Open stages have a win probability, used for the weighted value: make it rise from one stage to the next. Always keep one stage of type won (100%) and one of type lost (0%): without them, there is no win rate and no signed revenue. Up to 12 stages; deleting a stage moves its deals to the first one.
To move a deal to another stage, drag its card to another column, or use the card's ⇄ button (handy with a keyboard and on mobile). In the deal card, the ✔ Won and ✖ Lost buttons close it straight away. A lost deal asks for its reason (price, wrong timing, chose a competitor, stopped replying, no real need, no budget, other): answer it, that is what makes the analysis useful.

The deal card
Click a card (or press Enter when it has focus) to open it:
- Deal, company, stage, amount and expected close date: the date places the deal in the monthly forecast.
- Probability: leave it blank to use the stage's, or enter one for this deal only (for example 90% for a client who has agreed verbally).
- Source: referral, website, social media, trade show, outreach, advertising, partner, existing client.
- Contact: name, email and phone, with ✉️ Email and 📞 Call buttons.
- Tags (Enter to add) and free notes.
- Interaction log: call, email, meeting, quote or note, dated. In a few weeks, you will know exactly what was said.
The next action: the habit that matters
A deal without a next action is a deal you will forget. In the card, the 🎯 Next action block asks what (“Send the revised quote”, verb first) and when. The quick buttons Today, Tomorrow, +3 d, +1 wk, +2 wks set the date in one click. Once it is done, click ✔ Done: the action is recorded in the log and the tool takes you straight to the next one.
On cards, ⏰ flags an overdue action, 📌 an action due today, ❔ a deal with no next action. A won or lost deal no longer has a next action.
The To-do view
The ⏰ To-do tab groups your open deals by due date: overdue, today, next 7 days, later and no next action. Each line has ✔ Done, +1 d and +7 d to honestly postpone what you will not do today, and Open. The number of overdue and today's actions shows on the tab. The other views: 📋 Board (the pipeline), ☰ List (sortable by column) and 📈 Analysis.
Key figures
| Figure | How it is computed |
|---|---|
| Open | The total amount of open deals. |
| Weighted | Each amount × its probability (the deal's own if you entered one, otherwise the stage's). A £2,000 quote at 50% counts as £1,000 (example). |
| Won this month | Deals marked won this month, with the all-time won total below. |
| Win rate | Won ÷ (won + lost), on closed deals only. |
| Average cycle | The average number of days between a won deal's creation and its signature. |
| To follow up | Overdue actions plus today's. |
Why these formulas? The win rate ignores deals still in progress: counting them would push the rate down artificially. It becomes meaningful from 5 closed deals. The weighted value is more realistic than the “open” total, which assumes everything will be signed. Both only hold if you actually mark finished deals as won or lost.
Analysis
- Forecast by close month: over the next 6 months, solid bar for weighted, light bar for total. Deals with a past close date and deals with no date are counted separately.
- Signed revenue over the last 6 months.
- Funnel: how many deals reached each stage, based on their history. A sharp drop between two stages shows where your sale stalls.
- By stage, deal sources (with the win rate per source) and loss reasons.
Pipeline health on 5 axes
| Axis | What is checked |
|---|---|
| Follow-up | Overdue actions, deals without a next action |
| Freshness | Dormant deals (no activity or stage change for more than 14 days by default, and no upcoming action), interactions logged in the journal |
| Data quality | Amounts, close dates, contact details, valid emails, deal sources |
| Forecast | Past close dates, increasing probabilities, won and lost stages present |
| Conversion | Loss reasons recorded, at least 5 closed deals, win rate, at least 3 deals in progress |
The dormancy delay is set in ⚙️ Stages (“Dormant after”, from 3 to 90 days). The discovery version shows the score and 3 recommendations; Pro shows them all, naming the deals concerned.
Importing from Excel or another CRM (Pro)
- From Excel, Google Sheets or another CRM's export, save a CSV file: semicolon, comma or tab separated, detected automatically. You can also paste the content.
- The first row holds the headings. Recognised columns, in English or French: Deal / Name, Company, Contact, Email, Phone, Amount, Stage, Expected close, Source, Tags, Notes, Next action, Next action date. You need at least “Deal” or “Company”.
- Dates as yyyy-mm-dd (safest) or with slashes; in the English version an ambiguous date such as 03/04/2026 is read month first, so prefer yyyy-mm-dd. Write amounts without a thousands separator, such as “2400.50” or “£2400”.
- Stages are matched by name; “won” and “lost” are always understood. An unknown stage puts the deal in the first stage: the import result tells you how many.
Exporting
The printable report is available to everyone; in the discovery version it carries a “Discovery version · Made with Yok-Kod” watermark at the end of the document and at the bottom of each printed page. Pro removes it. Data exports (CSV, .ics calendar) and the JSON backup are for Pro.
- 📊 CSV spreadsheet (Pro): every deal, comma separated, to open in Excel, LibreOffice or Google Sheets.
- 🖨️ Printable report (everyone, watermarked in the discovery version): key figures, next actions, stages, forecast, sources and loss reasons. Print it or save it as PDF from your browser.
- 📅 Follow-up calendar (.ics) (Pro): each dated next action becomes an all-day reminder. Import the file into Google Calendar, Outlook or Apple Calendar. It is a snapshot: export again after rescheduling.
AI (optional, Pro)
With your own key (Agnes, OpenAI, Claude, Mistral, Groq, Gemini, DeepSeek, OpenRouter or a compatible service), the assistant can create a deal from a sentence (“(example) Meeting with Ebony Workshop, quote £1,800, call back Thursday”), pick your priorities for the week among open deals and, in a deal card, suggest the next action, draft a follow-up email or summarise the history. It is instructed to use only your data and never to make up figures, commitments or interactions; always reread an email before sending it. Your key stays in your browser.
Personal data and backups
Your pipeline is saved in your browser, on this device, automatically. The server receives the pipeline while it computes the figures and exports, without keeping it. Nothing is sent anywhere else, except the deal or list concerned to the AI provider when you use AI. As a result, clearing your browser data or switching computers means starting from scratch. With Pro, make a regular JSON backup (⬇ JSON) and restore it on another device (⬆ Restore).

Common problems
- My deals have disappeared.
- They are tied to the browser and the device: check that you are using the same one, outside private browsing, and the right pipeline in the list at the top. If you have a JSON backup, restore it.
- A deal does not show in the forecast.
- It has no expected close date, or that date is past: it is then counted separately. A zero amount adds nothing either.
- The win rate shows “—”.
- No deal has been marked won or lost yet. Also check that your pipeline has one stage of type won and one of type lost.
- A deal is “dormant” although I followed it up.
- Log the follow-up in the journal or schedule an upcoming next action: the alert goes away.
- On import, all my deals land in the first stage.
- The stage names in the file do not match yours. Rename them in the file or in ⚙️ Stages, then import again.
- I cannot add any more deals.
- The discovery version stops at 25 deals in 1 pipeline. Close or delete finished deals, or go Pro.
